Gardeners Shoreditch Health and Safety Policy
Gardeners Shoreditch is committed to providing a safe and healthy working environment for our employees, clients, visitors, contractors, and members of the public who may be affected by our gardening and grounds maintenance activities. This Health and Safety Policy sets out the principles and procedures we follow to manage risks, prevent accidents, and protect people, property, and the environment.
Policy Statement and Objectives
Our objective is to conduct all gardening work in a way that minimises risk of injury, ill health, or damage. We will comply with applicable health and safety legislation and recognised industry best practices. Health and safety considerations are integrated into planning, supervision, and delivery of every service, including garden maintenance, planting, soft landscaping, hedge cutting, lawn care, and related activities.
We aim to continually improve our health and safety performance by reviewing working methods, learning from incidents, and encouraging open communication about safety concerns.
Management Responsibilities
The management of Gardeners Shoreditch is responsible for implementing and maintaining this Health and Safety Policy. This includes:
Ensuring appropriate risk assessments are carried out for gardening tasks and work locations. Providing equipment and machinery that are suitable, properly maintained, and safe to use. Ensuring employees receive adequate information, instruction, and training to perform their work safely. Monitoring compliance with health and safety procedures through supervision and periodic review. Investigating accidents, incidents, and near misses to identify causes and implement corrective actions. Allocating sufficient resources to support safe working practices and ongoing improvements.
Employee Responsibilities
All employees share responsibility for maintaining a safe working environment. Employees must:
Take reasonable care of their own health and safety and that of others who may be affected by their actions. Follow all safety procedures, instructions, and training provided by Gardeners Shoreditch. Use tools, machinery, vehicles, and personal protective equipment correctly and report any defects immediately. Report accidents, incidents, near misses, or unsafe conditions to their supervisor without delay. Co operate with managers and supervisors on all matters relating to health and safety, including participation in training and briefings.
Risk Assessment and Planning
Before starting work at any garden, courtyard, or outdoor site, appropriate risk assessments will be completed or reviewed. These assessments identify potential hazards associated with gardening and maintenance tasks, such as use of powered equipment, manual handling, working at height, uneven ground, and exposure to weather conditions.
Control measures will be implemented based on the findings of the risk assessment. These may include use of specific protective equipment, task specific training, supervision, choice of tools or machinery, time of day for higher risk work, and restrictions on work during adverse weather.
Safe Use of Tools, Machinery, and Vehicles
Gardeners Shoreditch provides tools and machinery that are appropriate for professional gardening and maintenance work. All equipment will be maintained in a safe condition and inspected regularly. Only employees who have received suitable training and authorisation may operate powered tools and machinery such as lawn mowers, hedge trimmers, strimmers, blowers, and similar equipment.
Employees must follow manufacturer instructions and company procedures at all times. Machinery will be switched off and isolated before cleaning, unblocking, or adjusting. When vehicles are used for transporting staff, materials, or waste, drivers must hold the appropriate licence and follow road safety and loading procedures.
Personal Protective Equipment
Personal protective equipment is provided where necessary to control risks that cannot be adequately managed by other means. Depending on the task and site conditions, this may include safety footwear, gloves, eye and face protection, hearing protection, and high visibility clothing.
Employees must wear the required protective equipment for each task and report any loss, damage, or defect so that items can be repaired or replaced. Protective equipment is not a substitute for safe systems of work but an additional layer of protection.
Manual Handling and Ergonomics
Gardening work often involves lifting, carrying, pushing, pulling, and repetitive movements. Gardeners Shoreditch aims to minimise the risk of strain and musculoskeletal injuries through planning and training. Where possible, heavy or awkward loads will be reduced, split, or moved using mechanical aids or team lifting.
Employees receive guidance on safe lifting techniques, correct posture, and how to recognise early signs of strain or fatigue. Tasks are planned to allow rest breaks and variation of activity where practicable.
Chemicals, Substances, and Environmental Protection
Where fertilisers, soil conditioners, or other gardening products are used, Gardeners Shoreditch will ensure they are handled and applied safely and responsibly. Products will be selected and used in line with supplier instructions and relevant safety data. Only trained and authorised staff may handle any substances that require specific precautions.
We aim to minimise environmental impact by careful storage, transport, and disposal of materials and garden waste, and by avoiding contamination of soil, drains, or watercourses.
Working at Height and Site Safety
Many gardening tasks, such as pruning and hedge cutting, may require working at height using ladders or access equipment. Such tasks are planned and controlled to reduce the risk of falls. Only competent staff may work at height, and suitable equipment will be selected, inspected, and used on stable ground.
On all sites, work areas will be organised to reduce risk to the public and clients. Where necessary, barriers, signage, or temporary exclusion zones will be used, particularly when powered machinery is in operation or when debris may fall.
Weather Conditions and Outdoor Hazards
As an outdoor service, our teams regularly encounter varying weather conditions and seasonal hazards. Supervisors assess weather related risks, including high winds, heavy rain, ice, snow, and extreme heat. Work may be postponed, adjusted, or rescheduled if conditions create unacceptable risk, particularly for work at height or with machinery.
Employees are advised to dress appropriately for outdoor work and to remain alert to ground conditions, visibility, and changes in weather throughout the day.
Accidents, First Aid, and Emergency Procedures
All accidents, injuries, and near misses must be reported as soon as possible so they can be recorded, investigated, and used to improve safety measures. Gardeners Shoreditch provides access to first aid supplies and ensures that appropriate arrangements are in place for obtaining medical assistance when required.
Emergency procedures, including responses to serious injury, fire, or other significant incidents, are communicated to staff and reviewed periodically. Employees must familiarise themselves with site specific procedures when working at new or unfamiliar locations.
Information, Training, and Supervision
Gardeners Shoreditch is committed to providing information, instruction, and training relevant to the tasks undertaken. This may include induction training, equipment specific training, refresher courses, and toolbox talks focused on particular risks. Levels of supervision are determined by the type of work, the competence of employees, and the nature of the site.
We encourage staff to ask questions, raise concerns, and suggest improvements related to safety. Constructive feedback is used to refine procedures and training content.
Monitoring, Review, and Continuous Improvement
This Health and Safety Policy is monitored on an ongoing basis and formally reviewed at regular intervals or following any significant change in operations, legislation, or best practice. Incident data, inspection findings, and staff feedback are taken into account when updating procedures and controls.
By working together and maintaining a shared commitment to safe working practices, Gardeners Shoreditch seeks to protect everyone involved in or affected by our gardening services and to deliver high quality work in a safe and responsible manner.
